POLICIES AND PROCEDURES

Shop Hours – Shop Hours are Monday through Friday – 8:30 AM to 5:30 PM (Winter) or 8:00 AM to 6:00 PM (Summer). Saturday and Sunday are by appointment only (Opening and/or over time shop charges may apply). In the event on an after hours emergency, please call the shop number to be forwarded to on-call personnel.

Rental Rates – All rental rates listed are for one-day. This is the minimum rental period. Weekly rates are charged at a three-day rate. Longer rental periods are available. All items are subject to availability. Rental rates are subject to change without notice. Please call to confirm.

Reservations – Adequate time must be given to prepare your order. Orders placed after 12-noon for use the following day cannot be guaranteed and are subject to our shop work schedule. In such cases the rental office will inform you if additional charges are necessary.

If you are scouting the day before your shoot, please let us know in advance. All equipment is rented on a first come first served basis so make your reservations early.

Pick-Up and Return – Rental Items may be picked up after 3:00pm the last business day before a shoot (unless other arrangements have been made). Items must be returned by 10:00 am the first business day following a shoot or additional days may be charged. Gearhead Grip & Electric reserves the right to charge for lost rentals due to late returns. Opening and/or over time charges may apply for pick-ups and returns during times other than the above stated shop hours. Vehicles, however, may be picked-up anytime 24 hours a day if arrangements are made in advance.

Cleaning Fees – Any equipment returned dirty will be subject to cleaning fees. All equipment must be returned clan and all trucks must be re-loaded in an orderly fashion. If a package is returned in an unclean or disorganized state, shop fees may be assessed.

Drivers – All drivers must be employed by the renter and covered under their insurance policies. See Terms and conditions for insurance requirements.

Cancellation Fees – Cancellation of an order must be made at least 24 hours prior to pick-up. Cancellations made less than 24 hours before pick-up are subject to cancellation fees. The standard cancellation fee is 50% of the rental equipment day rate for all confirmed days, not to exceed 10 confirmed days.

Delivery Charges – 24 hour delivery service is available. A flat fee of $50 will be charged for deliveries or pick-ups during normal business hours within the city of Portland. Most deliveries in the Greater Metro area will be $75. This service is subject to availability and must be arranged in advance. There will be no charge for deliveries that arise as a result of omissions on our part or equipment replacement due to failure.

Burned out Globes – The renter is responsible for all globes that burn out during the course of a shoot. This responsibility is waived if the renter purchases Burned Out Globe Coverage. This fee is equal to 10% of total LIGHTING rental fees. All burned out globes must be returned to Gearhead Grip and Electric or they will be assumed to be missing, lost or stolen and the renter will be charged replacement costs.
